Virtual Phone Banks for Membership Renewal

  1. From the My List page (see Creating a List for Membership Renewal for help), click Calls in the icon bar.
  2. In the box that appears, select Set up Virtual Phone Bank List and then click Next.
  3. You will be brought to the VPB administration screen. Name your calling project and select which script (set of questions) you would like your volunteers to use from the drop down menu.

    To save you time, the Help Desk has added an updated membership renewal script to Liberalist for all ridings. The Membership Renewal 2011 script includes a simple introduction for your volunteers, information about how and why to renew membership, and a Victory Fund ask.
    You can also create your own, locally-specific script for membership renewal. For assistance with creating custom scripts, see our guide section Creating a Script.
  4. Check the different fields you would like to appear in the VPB display and the editable fields that you would like your volunteers to be able to update. You also have the option to make the script appear above or below the display information. Your volunteers automatically see the person’s name and preferred phone number. For the Membership Renewal Projects, we encourage you to consider adding the following fields:
    1. Upper Display: Age and Gender
    2. Lower Display: **NEW**
    3. Editable Display: Addresses, Phones, Email, and Notes
      NOTE: Do not select Notes unless a member of your team will check for any new notes after every day of calling. Notes that are not responded to can significantly frustrate expiring members, costing your team memberships and future donations.
    4. Viewable Display: Activist Codes

      Allowing your volunteers to view the Activist Codes that have been applied to expiring members can be useful. For example, it will show them how many years someone has been a member. Please consider the volunteers who will be phoning on your behalf, as this will also show your volunteers some details of the expiring members’ donation histories.
  5. Select the dates that you want to the phone bank to be active. This feature limits the VPB so it can only be accessed between those dates. You can also set parameters for the time of day that your volunteers can make phone calls using the Daily Start Time and Daily End Time fields.
  6. If you would like to set a limit on the total time period for each volunteer’s VPB session, enter this in the field beside Time Limit. If you enter a time limit, decide if you want your canvassers to be able to repeat the session once the time limit has elapsed.
    Similarly, you can set a contact limit for each volunteer’s VPB session. This can help you to manage your volunteer’s work flow. Make sure to select  Allow users to repeat session if you want your volunteers to be able to get back into the phone bank after they have reached their call limit.
  7. You can use the Contact Limit box to set goals in the field Contact limit and (if you select Show Individual Progress) allow your users to see their own progress towards the goal or (if you select Show Entire Phone Bank Progress) the combined progress of everyone that has access to the VPB.
  8. If you would like to distribute your list to canvassers based on their location, select Distribute voters by postal code. When your canvassers log into the virtual phone bank they will be prompted to enter their postal code which will distribute individuals that live closest to their house.
  9. Householding: To make your calling as efficient as possible, select Show only People in Household from Virtual Phone Bank list as your Householding option. This will allow include links on the VPB display to all individuals living in the same household that also have expiring memberships.
    - If you chose “Do not display Also in Household”, your volunteer would have to call some houses multiple times to reach all of the expiring members. This is inefficient and might not reflect well on your team.
    - If you chose “Show all Also in Household”, your volunteers would ask to speak with everyone in the household in the entire Shared Contacts database, whether their membership is expiring or not. This is inefficient and can make your team seem unprofessional.
    - Choosing “Show only People in Household from Virtual Phone Bank list” gives your volunteers the information they need to ask for only those members of the household with expiring memberships.
  10. Click Next.
  11. This brings you to a page called Edit Virtual Phone Bank. This is where you review your options and assign any Level 1-3 users with Liberalist Access to your riding to the Virtual Phone Bank by clicking on the user’s name and then selecting to add or remove their access.
  12. Once you have reviewed your selections and assigned users, press Save.
  13. Your Virtual Phone Bank is now ready for a first round of calls. (Please see Using the Virtual Phone Bank for more information about how to log onto a Virtual Phone Bank).
